Saved travellers (the traveller vault)

What this is for

Every booking needs traveller details. First name, surname, date of birth, sometimes a passport number.

The traveller vault remembers those details once. After that you fill the form in with one click.

Who it is for

For every logged-in customer, especially families and frequent flyers.

What you see

The page is called "Saved travellers". The subtitle: "Traveller details you can use to fill a booking in with one click. Document numbers are encrypted and never displayed.".

At the top you can see how many people you have saved, for example "3 travellers".

Each person is one card. On the card there is:

• First name and surname.
• Citizenship — a two-letter country code, for example PL.
• Gender — "Female" or "Male".
• Travel document — "Passport" or "ID card". When there is no document: "No travel document".
• Valid until and Country of issue.
• Frequent flyer programme — the carrier code and the card number.
• Retention until — the date after which the data disappears by itself.

Under the document there is an important line: "The document number is encrypted — we only show the type, validity and country of issue.".

Buttons: "Edit details", "Delete" and "Add traveller".

When you have nobody saved: "You have no saved travellers yet" and "Add your first traveller to fill booking details in faster.".

Step by step

Click "Add traveller". A form with three sections opens.

The "Traveller details" section

First name — required. Example: Jan. At most 100 characters. Errors: "Enter the first name", "The value can be at most 100 characters".

Surname — required. Example: Kowalski. Error: "Enter the surname".

Date of birth — required. Pick it in the calendar. It cannot be in the future. Errors: "Enter the date of birth", "The date of birth cannot be in the future".

Citizenship — two letters, a country code. Example: PL, DE, GB. Hint: "ISO country code, 2 letters — e.g. PL". Error: "Enter a two-letter country code (e.g. PL)".

Gender — "Female" or "Male". Airlines require this information. Error: "Choose the traveller's gender".

The "Travel document (optional)" section

Hint: "Only give a document when the carrier requires it.".

Document type — "Passport" or "ID card". Error: "Choose a document type".

Document number — from 4 to 40 characters, letters and digits only. Example: AB1234567. We strip spaces ourselves and turn letters into capitals. Hint: "We store it encrypted; you will not see it again.". Errors: "Enter the document number", "The document number can be 4–40 characters (letters and digits)".

Valid until — a date from the calendar. Error: "Enter a valid document expiry date".

Country of issue — two letters. Example: PL. Error: "Enter a two-letter country of issue code (e.g. PL)".

Note: the document is one whole. If you fill in even one document field, you must give both the type and the number.

When this traveller already has a saved document you will see: "This traveller already has a saved document. Typing a new number will replace the previous one.".

The "Frequent flyer programme (optional)" section

Carrier code — 2 or 3 characters. Example: LO. Error: "A carrier code is 2–3 characters (e.g. LO)". Programme number — your card number. Error: "Enter the frequent flyer number".

These two fields go together. One without the other makes no sense, so the form will ask for both.

Consent

I agree to save this traveller's details in my traveller vault — a tick box, obligatory. Description: "You can withdraw your consent by removing the traveller from the list.". Error: "Consent to save the traveller is required".

At the end click "Save traveller".

What happens next

You will see "Traveller saved" and a new card appears in the list.

We encrypt the document number as soon as the form is sent. We use the AES-256-GCM cipher. The number never comes back to the browser and never lands in our event logs. From then on you only see the type, expiry date and country of issue.

During a booking, in the "Who is going on holiday?" step, a "Saved travellers" card appears with "Fill in details" buttons. The fields then fill themselves and next to the document you read: "The document from your traveller vault will be used automatically.".

How long the data lives

Each card has a "Retention until" line. That is the date after which the data will be anonymised and removed by itself. By default we count 540 days from saving. At the bottom of the page there is a note: "Traveller details are kept for a limited time (retention below) and are then anonymised automatically.".

Frequent questions

Do I have to give a passport number? No. The document is optional. Give it only when the carrier or destination requires it.

I want to see the saved document number. It cannot be done — the number is encrypted and hidden even from you. The only place you see it decrypted is the GDPR data export file.

How do I withdraw my consent? Remove the traveller from the list. That withdraws the consent and deletes the data.

I get "Saving document numbers is temporarily unavailable". The vault is not configured on the server right now. Save the personal details without a document and add the number later.

Who can see my saved travellers? Only you, once logged in. Details reach the provider only after the booking is paid.
