Step 1 — traveller details

Every field of the traveller form: names, gender, date of birth, citizenship, document, frequent flyer, contact and company invoice.

What this is for

The carrier, hotel or tour operator has to know who is travelling. Without names they cannot issue a ticket or a voucher.

Here you also give your e-mail and phone, so we can send you the confirmation.

Who it is for

For anyone who started a booking. You need not be logged in, but logged-in customers can use the traveller vault.

What you see

The page title: "Who is going on holiday?", with the subtitle "Enter the details exactly as in your travel document.".

At the top a step bar: Details → Extras → Summary → Payment. On the right a card with your offer and the note "Indicative price — we will confirm the final one after checking availability.". Above the form you may read "The booking is handled by Sunny Tours".

Logged-in customers with saved travellers also get a "Saved travellers" card, and inside EVERY traveller section a "Fill in details" row with a button per saved person. You click the button in the section you want to fill.

The form collects details for as many people as the price was calculated for in the search — from one to nine. Sections are named "Traveller 1", "Traveller 2" and so on, and next to the number you see who the section is for: adult, child or infant.

Above the sections there is a line such as: "This booking covers: 2 adults · 1 child.". If the number of people is not what you want, go back to the search and change it there — the form never adds or removes people, because the price depends on how many there are.

The first section is expanded straight away. The rest are collapsed — open them with "Edit" ("Collapse" closes them). A section with an error opens by itself.

The order of the sections is always the same: all adults first, then children, infants last.

Step by step

For each traveller

First name — required, at most 100 characters. Example: Anna. Errors: "Enter the first name", "The value can be at most 100 characters".

Surname — required. Example: Kowalska. Error: "Enter the surname".

Date of birth — required, from the calendar. Error: "Enter the date of birth". Airlines use it to work out the passenger's age.

The date must match who that person is on the travel date (not today):

A future date is rejected: "The date of birth cannot be in the future".

Example: a child who turns 12 a week before departure counts as an adult for the carrier — search for them as an adult, otherwise the form shows an error.

Citizenship — required, a two-letter country code. Example: PL. Error: "Choose a citizenship".

Gender — required: "Female" or "Male". Error: "Choose the traveller's gender". Airlines will not place an order without it.

"Travel document (if the carrier requires it)"

Hint: "Some fares and destinations require a document number. We encrypt the number as soon as the form is sent.".

All fields are optional, but if you fill in one, you must give both the type and the number.

Document type — "Passport" or "ID card". Error: "Choose a document type".

Document number — 4 to 40 characters, letters and digits. Example: AB1234567. Hint: "We store it encrypted.". Errors: "Enter the document number", "The document number can be 4–40 characters (letters and digits)".

Valid until — a date. Error: "Enter a valid document expiry date".

Country of issue — two letters. Example: PL. Error: "Enter a two-letter country of issue code (e.g. PL)".

From the vault you read: "The document from your traveller vault will be used automatically". When the vault is off: "Collecting document numbers is temporarily unavailable.".

"Frequent flyer programme (optional)"

Carrier code — 2–3 characters. Example: LO. Error: "A carrier code is 2–3 characters (e.g. LO)". Programme number — your card number. Error: "Enter the frequent flyer number".

Both fields go together; one without the other will not pass.

"Contact details"

E-mail address — required. Example: anna@example.com. We send the confirmation and documents there. Errors: "Enter an e-mail address", "Enter a valid e-mail address".

Phone number — required. A prefix list (+48, +44, +49, +420, +380, +1) plus digits, 6 to 15. Example: 501234567. Errors: "Enter a phone number", "A phone number can hold 6–15 digits", "Choose a prefix".

The person booking is travelling too — a tick box. Tick it if you are travelling yourself.

Save the traveller details in my traveller vault — optional tick box: "That way you can fill your next booking in with one click.".

"Invoice"

Company invoice — a switch: "Tick this if a company should receive the invoice.". Once ticked, these fields become required:

Company name — example Kowalska Design Sp. z o.o.. Error: "Enter the company name". Tax ID (NIP) — 10 digits, with or without separators. Example: 1234563218. We check the control digit. Error: "Enter a valid tax ID (10 digits)". Street and number — example Kwiatowa 5/2. Error: "Enter the street and number". Postcode — for Poland 00-000. Example: 80-180. Error: "Enter a valid postcode (00-000)". City — example Gdańsk. Error: "Enter the city". Country (code) — two letters, PL by default. Error: "Enter a two-letter country code (e.g. PL)".

At the end the "Next: extras" button, "Back to the offer", and the note: "We pass traveller details to the service provider only after the booking is paid.".

What happens next

You will see "Traveller details saved." and move to "Extras".

We encrypt the document number immediately; it never comes back to the browser, even when the form shows an error elsewhere. If you ticked the vault box, the travellers appear in the "Travellers" tab. If your session expires: "Your booking session has expired. Start from traveller details.".

Frequent questions

I am travelling alone. Do I have to enter a second person? No. If you searched for one person, the form has exactly one section.

There are five of us. Will they all fit? Yes — we handle 1 to 9 people per booking. Nine is the upper limit of the carriers' systems; for a larger group contact support.

The form shows a different number of people than I picked. What now? Go back to the search, set the right number of people and open the offer again. The number of sections comes from the price we showed you, which is why it cannot be changed in this step.

Does an infant pay? Not for a seat. Infants (under 2 on the travel date) are not counted in the per-person price — but we still need their details so the carrier can issue the document.

Do I have to give a passport? Only when the carrier or destination requires it. The document section is optional.

I mistyped a surname. Is that a problem? Yes. A ticket is personal. Fix it now — after the ticket is issued a change usually costs money.

Why is my tax ID rejected? A Polish NIP has a control digit. Check for a mistyped digit. Separators are allowed.

Do my details go to the carrier straight away? No — only after the booking is paid.
